Questions & answers

Zanus AI for Nonprofits: questions & answers

Can an AI answer phones for a nonprofit with a small staff?

Yes. AI Phone answers your main line on the first ring while your team runs a distribution, visits a site or sits in a board meeting, and after hours. It answers from your approved information, books volunteer shifts and intake appointments, takes gift-change requests for a person and transfers anyone in crisis to the person on duty.

What does the AI do when a caller is in crisis?

It follows your approved crisis wording first. A caller who is unsafe, without food or shelter tonight or in distress hears your hotline wording, including 911 or 988 where relevant, and is transferred to the staff member on duty. The AI does not counsel or assess; it connects the person to help.

Does the AI decide who is eligible for our programs?

No. It explains the published eligibility criteria your organization approved, what to bring to intake and how to apply. Whether a specific person qualifies is decided by your program team, and the AI never discusses a participant's case with anyone outside the case team.

Can the AI change a donor's recurring gift or take a card number?

No. Changing card details, pausing, cancelling or refunding a gift is filed as a request for your gift-processing person, and the AI takes no card numbers on the phone. It can send your secure giving link and confirm that the request was received.

Can the Back Office draft our grant reports?

Yes. It reads the program data, attendance and outcomes you recorded, follows each funder’s reporting terms and drafts the report in their format; nothing goes to the funder until your program director approves it, and every report date is on the calendar with an owner.

Is a program participant’s information kept apart from donor records?

Yes. Each participant’s intake and services stay on their own confidential file, separate from donor and volunteer records; access is set by role, and every action of the AI and of your staff is on record.

How do the Front Office and the Back Office work together for a nonprofit?

The Front Office answers the volunteer or the family, qualifies the request and books the shift or the intake appointment; the lead, the call transcript and the booking land on the supporter’s record in the Back Office, where the hours, the thank-you and the program dates take over.
